In-class Testing Support Guidelines

While we are here to support you and your instructional team, it is important to remember the following guidelines when requesting Testing Support.

Instructor Expectations

Do I need to be present for the test?

Yes, the instructor of the course must be present and in the room for the entire duration of the test. This ensures the security of the test and is also a requirement of the Academic Senate 

What if I cannot be present for the test?

You can designate a faculty member to take your place so long as they are present for the entirety of the test. Per Senate policy, Instructional Assistants (IAs) and/or Teaching Assistants (TAs) may assist in proctoring but are unauthorized to serve as a faculty replacement.

If you haven't already, please notify us at tritontesting@ucsd.edu with the name and contact information of the faculty substitute. 

Can I use Proctor Pool for all of my tests?

Yes, however, please keep in mind that Proctor Pool is meant to be used as a supplemental resource. The PPP shouldn't be used as the sole source of proctors.

It's important to keep in mind that we are here to support you as well as other UC San Diego faculty and staff members. We will do our absolute best to fulfill the number of proctors requested, but we may have to allocate proctors amongst campus instructors. We will always do our best to provide you with at least 1 proctor for your test. 

If you need additional help, you may be able to receive assistance from your department. 

Why is it difficult to locate proctors?

It takes time for us to search for available proctors as they assist us with in-class requests as well as staff our two TTC locations. Our proctors are also students. They have classes they attend and often times their class times compete with the requests we receive, so it can be difficult to locate proctors. 

Role of the Assistant Testing Specialist

What are the proctors expected to do?

Our proctors are trained to assist in test administration and observation of the testing room. This includes: 
  • checking IDs 
  • reviewing approved aids and compliance to aid guidelines
  • helping with seat assignments 
  • distributing and collecting tests
  • monitoring and reporting suspicious behavior
  • communicating student questions to the instructional team.

Our proctors cannot assist with tasks outside of the testing session. The proctors are dismissed once the tests are collected.

Can I use Proctor Pool to monitor remote tests?

No, we are unable to proctor virtual tests. Proctors can only be requested for in-class, non-accommodated tests.  

Can proctors monitor my accommodated students in another room?

No, Proctor Pool does not handle any accommodated testing. Students with accommodations can test at the Triton Testing Center. Read more for information on how to set up an accommodated test with us

Can proctors monitor my make up students in another room?

No, proctors can only be requested for in-class, non-accommodated tests. Students who have missed their test and need to take a make up can do so at the TTC. Read more for information on how to set up a make up test with us

Can proctors answer student questions during the test?

No, proctors are not trained to answer student questions during the test. They can relay questions to the instructional team and relay answers back to the students 

Will proctors help me bring my tests back to my office?

No, proctors cannot assist in the grading or moving of tests. They are only scheduled for the duration of the test and are dismissed once it is overShould the test extend past the scheduled end time, please confirm with the proctor(s) if they are able to stay. They may have a class or other commitment that will prevent them from prolonging their shift.

Can the proctors act as readers or scribes for my students?

No, our proctors are meant to strictly monitor the test taking environment. You or your IA/TA may serve as a reader or scribe. You can also reach out to your department for further assistance.

Should a student require a reader or scribe in the TTC, we will notify you at least 3 days in advance so that you may have sufficient time to locate a scribe or plan alternate arrangements. If a scribe is not found in time, we may reschedule the test until one is available.
